How should I set up viewings for people who reply to my listing?

Short answer
Offer two or three fixed viewing windows rather than arranging each visit separately, and book people into 15- to 20-minute slots within them. Confirm the time and address by message the day before. Having someone else at home during viewings, and asking visitors to message when they arrive, keeps things safe and orderly.
Grouping viewings means fewer hours lost and fewer no-shows. An open-house window ("come any time Saturday 11 to 1") works for a whole apartment. For a room in a shared home, separate slots work better, so your roommates can meet each person.
- Share the exact address only with people you have booked.
- Tell your roommates the times, and put away valuables and mail.
- Have the lease terms, deposit and move-in costs ready to explain.
- Tell each visitor when you will decide and how you will let them know.
For someone moving from out of town, a live video tour works well. Walk through the whole place on a call rather than sending a recorded clip, so they can ask to see specific things. Do not ask anyone for a deposit or fee before they have seen the place, in person or live. Posts that ask for money before a viewing are removed.
